Inspired Education Group is a global education organization operating over 125 schools across over 27 countries, employing approximately 16,000 staff.
Across such a large international organization, handling data subject access requests (DSARs) is a complex task. Each request involves reviewing large volumes of personal data, often spread across multiple document types and systems.
As the number of DSARs increased, the organization needed a more efficient and secure way to manage redaction of DSAR documentation. That search led them to implement Cleardox Redact.
Handling DSARs in a global organization presents significant operational challenges.
Teams were working with large collections of documents containing sensitive personal data, often across multiple formats. Many workflows relied on manual or semi-manual methods such as editing PDFs individually or exchanging multiple versions of documents by email. This created repetitive work and made collaboration more complex than necessary.
Each DSAR required reviewing and anonymizing large document sets, often containing repeated personal information across multiple files. As workloads increased, teams spent more time repeating the same tasks and managing document versions, rather than focusing on decision-making.
It became clear that a scalable and structured solution was needed to support continued growth while maintaining compliance and data security.
With Cleardox, Inspired Education Group introduced a platform for redaction workflow that could be shared with multiple stakeholders within the DSAR process.
Sensitive information, such as names, health data, identification numbers, addresses, and account numbers, can now be automatically identified across documents. Teams can also define custom categories to reflect organization-specific requirements, ensuring that only relevant information is removed while preserving important context.
One of the most significant changes was the ability to process multiple documents simultaneously. Instead of handling files one by one, teams can redact entire collections in bulk and remove repeated information across documents in a single step. Finalized files can then be merged into a consolidated PDF, reducing administrative overhead.
Collaboration also became more structured. Teams can work within the same secure environment, eliminating the need to download and share files via email. At the same time, automated document lists and anonymization appendices support documentation workflows and reduce manual reporting tasks.
Together, these changes reduced repetitive work and created a more consistent and efficient approach to DSAR handling.
Inspired Education Group’s internal evaluation highlights clear operational improvements following the implementation of Cleardox.
Compared to previous manual workflows, teams now save minutes per page on redaction tasks, depending on complexity. While the time savings per task may appear small, they accumulate significantly across large DSAR volumes.
These results are primarily driven by:
Together, they streamline DSAR redaction workflows and significantly reduce duplicate work and help teams complete cases faster and in a more secure way.
Centralizing anonymization workflows in a secure platform reduced the number of document copies distributed across teams.
Instead of sharing files through email, teams now collaborate within a controlled environment. This has reduced the risk of unintended data exposure and strengthened compliance with data protection regulations and internal governance policies.
In addition, with a dedicated system in place, Inspired can be confident that all documents are fully anonymized, with no possibility of reconstructing or accessing the original content.
Beyond efficiency gains, users experienced improvements in their daily workflows. Handling large document volumes became more structured, and repetitive tasks were reduced.
This created clearer processes and helped lower operational pressure during busy DSAR periods, contributing to improved employee satisfaction.

Cleardox introduced a more efficient and scalable redaction workflow, allowing teams to process large volumes of documents while reducing repetitive manual work.

Teams relied on time-consuming manual redaction processes, multiple document versions, and email-based collaboration, increasing workload and the risk of errors.

Cleardox enables teams to collaborate in a secure, centralized environment without exchanging sensitive documents via email. All redactions are permanent and irreversible.

Inspired Education reports saving minutes per page compared to previous manual workflows, resulting in significant time savings across large DSAR requests.

Automated detection of sensitive information, bulk redaction, and secure collaboration have helped streamline workflows, reduce duplicate work, and improve efficiency.
